Description
Scope of Works for Project Manager/Employer's Agent • The role requires the Project Manager to act as the Employer's Agent and carry out any contract administration duties as highlighted in the standard JCT contract terms, following the governance route for any approvals or instructions as highlighted in the GMCA Estates Governance Process Policy. • Conduct a review of all documents and carry out a gap analysis to identify where critical information is missing. Financial Management: • Attend, alongside the appointed Project Quantity Surveyor, budget update meetings (frequency to be advised), chaired by the Deputy SRO, led by the Commercial Governance Officer and attended, where appropriate, by a GMCA finance officer to report on budget activity. • To inform the above budget update meetings, support the appointed Project Quantity Surveyor to develop monthly financial statements and cash flow forecasts and report them via the mechanism detailed above. • These meetings will be held monthly/bimonthly (TBC), at significant project milestones, or if major changes materialise and require consideration, scrutiny, and any associated change control process. • Prepare, on behalf of the Deputy SRO, necessary paperwork to support any budget change request. Programme: • Support the Head of Estates in the development and ongoing monitoring of a project and programme plan (Construction Design Process and Building Works elements only). • Attend meetings chaired by the Head of Estates, led by the Programme Governance Officer, and attended by the Deputy SRO to report on project/programme activity. • Highlight any potential delays or instances of non-compliance with the agreed programme. • Support the Head of Estates with the scheduling of various meetings, including Design Team Meetings, Gateway Reviews, Gateway Sign-offs, and Change Control processes. • Continually monitor key milestones and work with the Head of Estates to ensure their timely delivery while reporting any deviations from the path. • Prepare reports as requested by the Head of Estates in respect of programming options. • Where necessary, develop change request documentation when any project is required to deviate from the path and provide this to the Head of Estates for decision. Risk Management: • Manage, via SharePoint, a project/programme risk register and present periodically it to the Client Team (frequency to be advised) • Notify, as soon as practicable, any escalations in risk to Head of Estates and Deputy SRO • Attend risk update meetings (frequency to be advised), chaired by the Deputy SRO, led by the Commercial Governance Officer and attended by Head of Estates to report on risk activity. • Prepare a change request where it is agreed that any risk mitigation amends either the overall completion date or the overall budget. • Prepare reports as requested by the Client Team in respect of risk mitigation strategies. • Manage a construction phase action log and periodically present it to the C
