Description
Suffolk County Council intends to conduct a procurement exercise during 2024 to purchase a music service orientated line of business system to continue and improve the support to children’s music engagement. The procured line of business system is to include a CRM (customer relationship Management) that can be tailored for our current requirements, with adaptability for future requirements should these become required.
Total Quantity or Scope
SCMS provides instrumental and vocal lessons, instrument hires and a wide range of other musical activities across the county of Suffolk, with a customer base of schools, private individuals (Parents/Carers) and Arts organisations.Due to the changes in Arts Council Funding to Music Services, a longer-term collaboration with other Local Authorities using compatible software may be in scope for future developments. Any procured system will be required to, include but not limited to functionality below:1. A system with secure access for SCMS employees (music teachers, administrative staff), and customers (parents & pupils, and educational establishments).2. Solution to provide a search and discovery website interface with secure login for customers 3. Facility for customers to view, book and pay for a variety of music services online. (End to end process for sales selection of services, shopping cart; checkout, payment, billing)4. Streamline and modernise Business Administrative processes for SCMS employees, examples of areas of particular interest are given below:4.1 create, add, edit, delete, archive new services and products4.2 allocate work to music tutor4.3 manage user accounts 4.4 direct billing across all schools / trusts (integration with Suffolk County Council’s payment provider)4.5 timetabling of tutors and lesson scheduling4.6 pupil database, pupil enrolment and attendance4.7 ability to extract data 4.7 website CMS functionality4.8 stock management system for management of musical instrument loan scheme4.9 bookings management for venue hire of Northgate Arts Centre 4.10 bookings management system for SCMS music events and activities sessionsAll responses are required to be made using the link below, All responses to this questionnaire are made at the supplier's own risk and cost; Suffolk County Council is not liable for any expenditure, work, or effort incurred by any supplier participating in this exercise.
